An AI assistant with rules. And a record of everything it did.

Every request is checked, every approval is kept, and your records stay yours.

Who can see what

Access follows the file. Not the password.

Everyone who touches a file, including your AI assistant, gets exactly what their role needs.

What each role can’t see
  • You See another workspace’s files unless they’re shared with you.
  • Your AI assistant Act beyond its authority level, sign for anyone, or see your mailbox password.
  • Your brokerage Read your AI assistant’s chats or your personal files outside the workspace.
  • Signers and other parties See the rest of the file, other documents or other parties.
  • RecordPlane staff Browse workspaces or act on files.
  • YouEvery file in your workspace, with its documents, dates, email and history. On a team, every member sees every team file.
  • Your AI assistantEvery file in the Close This workspace you connected it to, through Close This only. On a team, every member’s assistant sees every team file.
  • Your brokerageFiles and documents in the brokerage workspace, for compliance.
  • Signers and other partiesOnly the document you sent them, through a private link.
  • RecordPlane staffNothing by default. Access for support is requested, limited and logged.

AI assistant permissions

Your assistant asks. The platform decides.

Each request goes through RecordPlane, which checks it against your level and your brokerage’s rules.

  1. Your assistant asks“Send the disclosure packet to the Desais.”
  2. RecordPlane checks
    • This file is in the workspace your assistant is connected to
    • Maya is at Training wheels
    • Northline requires review of signing packets
  3. Held for your reviewNothing is sent until Maya approves it on the website. Waiting for Maya

01Training wheelsMaya’s level

Prepares everything. Every action waits for your review on the website.

02Approve by chatNorthline’s ceiling

Routine work is confirmed in chat. Everything else waits for your review on the website, and so do reviews your brokerage requires.

03Autopilot

Routine work happens and is reported. New documents, money and signatures still ask first.

What your assistant never does

  • Sign anything for anyone
  • Go past the ceiling your brokerage set
  • Skip a review your brokerage requires
  • Receive your mailbox or account passwords
  • Reach files outside the workspace you connected it to
What RecordPlane does underneath every file
  • Keeps the record. Every file, document and version lives in one system of record, not in a chat history.
  • Checks every AI request. Each action is checked against your authority level, your brokerage’s rules and your approvals before it happens.
  • Runs signing. Signer identity, consent, signatures and certificates of completion, handled by the same platform.
  • Remembers who did what. Changes to your records are kept in an audit log.

Audit trail

Every request, approval and refusal. With the reason attached.

Changes to your records are kept in an audit log.
